Bulk Operations
Perform mass actions on multiple contacts at once
Bulk Operations
When you need to make changes to many contacts at once, Mailnaptic's bulk operations let you perform mass actions directly from the Contacts page. This saves time compared to editing contacts one by one.
Selecting Contacts
To perform a bulk operation, you first need to select the contacts you want to act on:
- Navigate to Contacts from the sidebar.
- Use the checkbox next to each contact to select them individually, or use the select all checkbox in the header to select all contacts on the current page.
- If you want to act on a filtered subset, apply your filters or search first, then select.
Available Bulk Actions
Once contacts are selected, the bulk action toolbar appears at the top of the list. Available actions include:
| Action | Description |
|---|---|
| Add tag | Apply one or more tags to all selected contacts. |
| Remove tag | Remove a specific tag from all selected contacts. |
| Add to list | Add all selected contacts to a specific list. |
| Remove from list | Remove all selected contacts from a specific list. |
| Delete | Permanently delete the selected contacts and all their data. |
| Export | Download the selected contacts as a CSV file. |
Performing a Bulk Tag Operation
- Select the contacts you want to tag.
- Click Add tag in the bulk action toolbar.
- Type the tag name. You can add a new tag or select an existing one.
- Click Apply.
The tag is applied to all selected contacts. This operation uses batch processing, so it is efficient even for large selections.
Bulk Delete
Bulk delete permanently removes the selected contacts and all associated data, including:
- Activity history (email events, web events)
- Tag assignments
- List memberships
- Custom field values
- Frequency cap records
Warning: Bulk delete cannot be undone. If your organization has GDPR hard delete enabled, this action meets the requirements for a data erasure request, as all related data across tables is removed.
Performance Considerations
Bulk operations on very large selections (thousands of contacts) may take a few moments to complete. Mailnaptic processes these operations in batches to maintain system performance. You'll see a progress indicator while the operation is running.
Best Practices
- Always double-check your selection before performing destructive actions like delete.
- Use filters to narrow your selection before applying bulk actions to avoid accidentally affecting the wrong contacts.
- Consider exporting contacts before deleting them, in case you need the data later.
