Usage and Payment Alerts

The emails and banners you get when you near a plan limit or a payment fails, and what to do about them.

Usage and Payment Alerts

Mailnaptic tells you before a plan limit stops your sending, and right away when a payment fails. Alerts go to the organization owners by email. Owners and admins also see a banner inside the app.

Usage alerts

Three things are measured against your plan: emails sent this billing period, active contacts, and AI credits. For each one you get:

  • a warning email once usage reaches 80% of the limit, and
  • a limit email once it reaches 100%.

Each email is sent once per billing period. If usage jumps straight past 100%, you get only the limit email. If you upgrade or buy more credits, the limit changes and you can be alerted again at the new limit. Free plan organizations are not alerted about AI credits.

What happens at 100%:

  • Monthly sends: campaign recipients above the limit are not sent, and automation emails are skipped until the next period or an upgrade.
  • Active contacts: adding new contacts is blocked until you make room or upgrade.
  • AI credits: you can buy more credits or upgrade to get a larger allowance.

The in-app banner has an Upgrade button that opens Billing. It is hidden on the Billing page itself.

Payment failed

If your card is declined when a subscription invoice is due, the owners get an email with the amount and, when your card provider gave one, the reason and the date of the next attempt. Stripe retries automatically, and your account may be limited if the payment keeps failing. A red Payment failed banner shows in the app to everyone in the organization. Members are told to contact an owner or admin.

  1. Open Billing and click Update payment. This opens the secure Stripe portal.
  2. Add a new card or fix the details of the current one.
  3. Stripe retries the invoice. When it succeeds, you get a “payment received” email and the banner disappears.

While the subscription is still past due, Mailnaptic sends a reminder 3 days and 7 days after the failure. Reminders stop as soon as the invoice is paid or the subscription is canceled.

Good to know

  • Only owners get these emails. Admins see the banners but are not emailed.
  • The 80% threshold and the reminder days are set by the platform, not per organization.
  • Plan changes and payment failures are also recorded in the audit log on plans that include it.
Tip: Make sure the person who owns billing reads the owner email address, since that is where alerts are sent.
