Custom Fields Management

Create, edit, and delete custom contact fields

Custom Fields Management

Custom fields allow you to store additional data about your contacts beyond the standard fields (name, email, phone). Whether you need to track a contact's company, subscription plan, birthday, or any other attribute, custom fields let you extend Mailnaptic's contact model to fit your business needs.

Accessing Custom Fields

Navigate to Organization → Custom Fields to manage your organization's custom field definitions. This page lists all existing custom fields with their names, types, and usage statistics.

Creating a Custom Field

  1. Click Add Field at the top of the custom fields section.
  2. Enter a field name that clearly describes the data (e.g., "Company Name," "Plan Type," "Birthday").
  3. Select a field type:
    • Text: Free-form text input, suitable for names, descriptions, and other string data.
    • Number: Numeric values, useful for quantities, scores, and measurements.
    • Date: Calendar date values, ideal for birthdays, anniversaries, and subscription dates.
    • Boolean: True/false toggle, perfect for flags like "VIP customer" or "CCPA opt-out."
    • Select: A dropdown with predefined options, useful for categories like "Industry" or "Plan tier."
  4. For select fields, define the available options.
  5. Optionally set a default value that will be applied to new contacts if no value is specified.
  6. Click Save to create the field.

Using Custom Fields

Once created, custom fields appear throughout Mailnaptic:

  • Contact detail pages: View and edit custom field values for individual contacts.
  • CSV imports: Map columns in your import file to custom fields.
  • Segments: Use custom field values as segment filters (e.g., "Plan Type equals Premium").
  • Email personalization: Insert custom field values into email content using merge tags like {{custom.company_name}}.
  • API: Read and write custom field values through the contacts API.
  • AI segment builder: Reference custom fields in natural language segment descriptions.

Editing Custom Fields

You can edit a custom field's name and default value at any time. Renaming a field updates the display name but does not affect stored data. For select fields, you can add new options, reorder them, or rename existing ones. Removing a select option does not delete data from contacts that already have that value — it just prevents new contacts from selecting it.

Changing a field's type is not supported to prevent data integrity issues. If you need a different type, create a new field and migrate data manually.

Deleting Custom Fields

To delete a custom field, click the delete icon next to it. A confirmation dialog will warn you that all data stored in this field across all contacts will be permanently removed. This action cannot be undone. Before deleting, consider exporting your contacts to preserve the data.

Field Limits

Each organization can create up to 50 custom fields. If you need more, contact Mailnaptic support to discuss your requirements. Keep your custom fields organized and remove unused ones to stay within the limit and keep your data model clean.
