Managing Subscription Preferences
Let contacts manage frequency and topic preferences
Managing Subscription Preferences
Giving contacts control over their email preferences is one of the most effective ways to reduce unsubscribes and maintain a healthy, engaged audience. Mailnaptic's subscription preference system lets contacts choose what types of emails they receive and how often, keeping them on your list while respecting their boundaries.
Subscription Topics
Topics are categories of email that contacts can individually opt in or out of. When a contact visits your preference center, they see a list of available topics with toggle switches. Examples of effective topic categories include:
- Product updates: New features, releases, and product news.
- Newsletters: Educational content, industry insights, and thought leadership.
- Promotions: Sales, discounts, and special offers.
- Events: Webinar invitations, conference announcements, and meetups.
- Tips and tutorials: How-to content and best practices.
To set up topics, navigate to Organization → Preference Center and create your topic list. Each topic has a name, a description (shown to contacts), and a default opt-in state for new contacts.
Mapping Topics to Campaigns
When creating a campaign, you can assign it to one or more topics. During the send process, Mailnaptic checks each recipient's topic preferences and only delivers the campaign to contacts who have opted in to at least one of the assigned topics. This happens automatically — no manual filtering needed.
If a campaign is not assigned to any topic, it is sent to all active, non-unsubscribed contacts regardless of topic preferences. Use this for important announcements that should reach your entire audience.
Frequency Preferences
Some contacts want your content but feel overwhelmed by the volume. Frequency preferences let contacts set a maximum number of emails they want to receive per week or per month. Options typically include:
- Every message (no limit)
- Up to 3 emails per week
- Weekly digest (one email per week)
- Monthly summary
Mailnaptic's frequency capping system respects these preferences. When a contact has a frequency cap and has already received their maximum for the period, subsequent campaigns are automatically held back. The most important campaigns (based on priority settings) are delivered first.
How Contacts Access Preferences
Contacts can manage their preferences through several entry points:
- Email footer link: Every email includes a "Manage preferences" link that takes the contact directly to their personalized preference center.
- Unsubscribe flow: When a contact clicks "Unsubscribe," they're first shown the preference center with the option to adjust preferences instead of fully opting out.
- Direct URL: Share your preference center URL on your website or in other communications.
Tracking Preference Changes
All preference changes are logged with timestamps in the contact's activity history. You can view a contact's current topic and frequency preferences on their detail page under the Preferences tab. This audit trail is useful for compliance purposes and for understanding individual contact behavior.
