Exporting Unsubscribe Data
Mailnaptic allows you to export detailed unsubscribe data for offline analysis, compliance documentation, or integration with external business intelligence tools. Whether you need a simple CSV for a team meeting or a comprehensive dataset for regulatory purposes, the export feature has you covered.
What's Included in the Export
The unsubscribe data export includes the following fields for each unsubscribe event:
- Contact email: The email address of the contact who unsubscribed.
- Contact name: First and last name, if available.
- Unsubscribe date: The exact timestamp when the unsubscribe was processed.
- Source: How the unsubscribe occurred — one-click header, preference center link, or manual (admin-initiated).
- Reason: The predefined reason selected by the contact, if applicable.
- Free-text feedback: Any additional comments the contact provided.
- Campaign: The campaign that prompted the unsubscribe, if traceable.
- Lists: Which lists the contact was a member of at the time of unsubscribe.
How to Export
- Navigate to Organization → Unsubscribe Reasons.
- Use the date range filter to narrow down the period you want to export. You can select preset ranges like "Last 7 days," "Last 30 days," or "Last 90 days," or set a custom date range.
- Click the Export button in the top-right corner of the page.
- Choose your format: CSV is available for spreadsheet applications and data tools.
- The file will be generated and downloaded to your browser. For large exports, Mailnaptic may process the file in the background and email you a download link when it's ready.
Using Exported Data
Common use cases for exported unsubscribe data include:
- Compliance audits: Demonstrate that you honor unsubscribe requests promptly and maintain proper records as required by CAN-SPAM, GDPR, and CASL.
- Churn analysis: Import the data into a spreadsheet or BI tool to correlate unsubscribe spikes with specific campaigns, sending patterns, or content changes.
- Suppression list management: Cross-reference with external systems to ensure unsubscribed contacts are suppressed across all your marketing channels, not just email.
- Team reporting: Share monthly or quarterly unsubscribe reports with stakeholders to track progress on reducing churn.
Retention and Privacy
Mailnaptic retains unsubscribe records indefinitely by default, ensuring you always have a compliance trail. If a contact exercises their right to be forgotten under GDPR, their personal data is removed from the export, but the anonymized unsubscribe event record is preserved for your aggregate analytics.
