Welcome Series Template

Set up an onboarding sequence for new subscribers

Welcome Series Template

The Welcome Series is one of the most important automations you can set up. It makes a strong first impression, sets expectations, and guides new subscribers toward engagement with your brand. Mailnaptic's Welcome Series template gives you a ready-made workflow that you can deploy and customize in minutes.

What the template includes

The Welcome Series template contains the following flow:

  1. Trigger: Contact subscribes to a list.
  2. Send email: Welcome email — introduces your brand and thanks the subscriber for joining.
  3. Delay: Wait 2 days.
  4. Send email: Getting started — highlights key features, resources, or next steps.
  5. Delay: Wait 3 days.
  6. Send email: Feature highlights — showcases your most popular content, products, or services.

Deploying the template

  1. Go to Automations > Templates tab.
  2. Find the Welcome Series card and click it.
  3. Click Use Template.
  4. The automation editor opens with all steps pre-configured.

Customizing the welcome series

Trigger configuration

The default trigger is "Contact subscribes to a list." Click the trigger node to select which specific list should trigger the automation. If you have multiple lists (e.g., "Newsletter" and "Product Updates"), you may want separate welcome series for each.

Email content

Each email step contains placeholder content. Click on each send email node to open the email editor and write your actual content:

  • Email 1 (Welcome): Thank the subscriber, tell them what to expect (content type, frequency), and include one clear call-to-action.
  • Email 2 (Getting started): Provide practical value — a guide, tutorial, or your best resources. Make it easy for the subscriber to take their first meaningful action.
  • Email 3 (Feature highlights): Showcase what makes your brand unique. Include social proof, popular content, or product highlights.

Timing

The default delays are 2 days and 3 days. Adjust these based on your audience. For a B2B SaaS product, you might shorten to 1 day between emails. For a consumer brand, 2-3 days between emails is typical.

Adding more steps

You can extend the series with additional emails, conditions, or tag actions. Common additions include:

  • A condition after email 2 that checks if the subscriber clicked — sending different content to engaged vs. unengaged subscribers.
  • A tag action that marks contacts as "onboarded" when they complete the series.
  • A fourth email with a special offer or discount for new subscribers.

Best practices for welcome series

  • Send the first email immediately — subscribers expect instant confirmation after signing up.
  • Keep each email focused on one topic or action.
  • Include your brand's visual identity (logo, colors) for recognition.
  • Make unsubscribing easy — a clear unsubscribe link reduces complaints.
  • Track completion rates by adding a tag at the end of the series.

A well-crafted welcome series sets the tone for your entire subscriber relationship. Take the time to write thoughtful content for each email in the sequence.
